Family office AI, automation and technology glossary

AI and automation are changing how family offices operate. They are also introducing new terminology across operations, reporting, private markets, governance and technology.

This glossary explains the terms most relevant to family offices using AI and workflow automation. Each definition focuses on what the term means in practice and why it matters in a family office environment.

Agentic AI

Agentic AI describes AI systems that can plan and act toward a goal with a degree of autonomy.

An AI agent is usually an individual software component. Agentic AI describes the broader approach or behavior of the system.

Agentic AI can be useful for open-ended work. It also requires stronger controls because the path taken by the system may not be fully predetermined.

AI agent

An AI agent is software that uses artificial intelligence to pursue a goal and decide what action to take next.

Unlike a fixed workflow, an AI agent can adapt its next step based on what it finds.

In a family office, AI agents can support work that cannot be fully defined in advance. Their permissions should remain controlled. Higher-risk actions should remain subject to appropriate review.

AI governance

AI governance is the framework used to control how artificial intelligence is selected, used and monitored within an organization.

For a family office, AI governance establishes responsibility for AI use. It also defines where AI may operate and where human approval is required.

Strong AI governance helps make AI adoption more controlled and accountable.

AI guardrails

AI guardrails are controls that restrict what an AI system is allowed to do.

A guardrail can limit access to information. Another guardrail can prevent an AI system from taking an action without approval.

Guardrails reduce risk. They do not guarantee that an AI system will always produce a correct result.

AI hallucination

An AI hallucination is an AI-generated response that appears credible but is false or unsupported by the available information.

AI operating layer

An AI operating layer is an emerging term for a governed technology layer that coordinates AI and automation across existing business processes.

The workflow provides the structure. AI handles steps that require interpretation.

For example, AI may interpret an incoming capital call notice. The workflow can then move the information through review before further actions take place.

The phrase AI workflow is also commonly used for this type of process.

API integration

API integration is the process of connecting software systems through their APIs.

A successful API integration allows information or approved actions to move between applications automatically.

For family offices, API integration can reduce manual transfers between systems. It is most useful where reliable and permissioned connectivity already exists.

Application layer

The application layer is the part of a technology architecture where software performs practical tasks for users.

In an AI architecture, the application layer sits above the underlying AI models and infrastructure.

The phrase AI application layer is also used when the architecture being discussed is specifically focused on AI.

Application programming interface (API)

An application programming interface, or API, is a defined way for one software system to communicate with another.

An API allows software to request information or trigger approved functionality without requiring manual data entry.

In family office operations, APIs can connect existing systems to automated workflows when suitable access is available.

Audit trail

An audit trail is a chronological record that makes it possible to reconstruct what happened during a process.

A strong audit trail shows when an action occurred. It also shows who or what performed the action.

Back office

The back office covers the administrative and operational work that supports the day-to-day running of an organization.

In a family office, the back office often handles recurring processes that sit behind investment and family activities.

Board pack

A board pack is the set of materials prepared for a formal decision-making meeting.

A capital call is a request from a private investment fund for an investor to contribute part of its committed capital.

The request is normally communicated through a formal notice.

A capital call workflow is the operational process used to manage a capital call from receipt through completion.

Commitment tracking

Commitment tracking is the process of monitoring capital committed to private investments over time.

Data extraction is the process of identifying useful information within a source and converting it into a form that can be used elsewhere.

Intelligent document processing (IDP)

Key-person risk

Role-based access control (RBAC)

Role-based access control, or RBAC, assigns system permissions according to defined roles.

A user receives access because of the responsibilities associated with that role.

Single-family office (SFO)

A single-family office, or SFO, is an organization dedicated to managing the affairs of one family.

Its structure is normally tailored to that family's needs.

An SFO may manage activities internally. It may also coordinate work with external providers.

Structured data

Structured data is information organized according to a predefined format.

A spreadsheet with consistent fields is one example.

Structured data is generally easier for software to process because the structure of the information is known in advance.

System of record (SoR)

A system of record, or SoR, is the authoritative system for a defined category of information.

An organization can have more than one system of record.

Unfunded commitment

An unfunded commitment is the portion of committed capital that an investor has not yet been required to contribute.

It represents a future funding obligation.
